This Privacy Policy explains how Modern Broker, Inc. ("we," "us") collects, uses, and shares personal information through Work Hard Be Kind, our web tools for real estate professionals at workhardbekind.ai, and its connectors for AI assistants (the "Service"). It covers the agents and team members who use the Service, and explains how information about other people, such as your clients, reaches us.

1. What we collect

  • Account and profile. Your name, email, and sign-in details from the sign-in method you use, plus profile details you add (such as a headshot, service area, bio, and social links).
  • License and brokerage checks. Your real estate license details from public state licensing records, and whether your email appears in your brokerage's agent directory. We use these to decide which features you can use.
  • reZEN data. If you or your team leader connects a reZEN API key, we read and keep a working copy of your reZEN data, such as your license, transactions, listings, commission figures, and team roster. This often includes information about other people in your deals, such as clients and other agents.
  • What you put in. Suggestions and votes, Brainstorm conversations, open houses and host offers, office bookings, files, and anything else you enter.
  • Usage and technical data. Pages and features you use (recorded in our own database, not by an outside analytics company), plus standard logs such as IP address and browser type. If something breaks, an error report may include your account ID.
  • AI assistant activity. When an assistant you linked uses the Service, we log which tools it called and when, and briefly hold any change it proposes until you approve or it expires.

2. How we use it

We use personal information to:

  • run the Service: show your data back to you as dashboards, whiteboards, and reports; run your team space, Open House Match, office booking, and the Suggestion Box; and answer the AI assistants you link;
  • make the changes in reZEN that you approve;
  • send you service emails, such as sign-in links, invitations, booking confirmations, and deletion receipts;
  • support you, keep the Service secure, keep each agent's data separate, and prevent abuse;
  • improve the Service using usage data and de-identified data. We never use reZEN data for this, and we do not use your identifiable content to train general AI models; and
  • meet legal obligations and enforce our Terms.

We use reZEN data only to run the Service for you. We do not combine it across agents into a separate dataset, sell it, or use it to build other products.

3. Who we share it with

  • Service providers that run the Service for us under contracts limiting their use of the data, such as providers of hosting, databases, sign-in, email delivery, error monitoring, license lookups, and AI processing.
  • reZEN, which is the source of your reZEN data and receives the changes you approve. Real Brokerage's and reZEN's own terms govern their handling of it.
  • AI assistants you link (for example, Claude, ChatGPT, or Gemini). When you link one, it receives the data its requests return, at your direction. Its provider's privacy policy governs what it does with that data.
  • Other agents, as described in Section 4.
  • Video hosts. Team and tutorial videos may play from third-party video services, which receive the usual information a browser sends when it loads a video.
  • Legal and safety. When the law requires it, or to protect the rights, safety, or property of our users, the public, or us.
  • Business transfers. In a merger, acquisition, or sale of assets, under commitments at least as protective as this policy, or with notice to you.

We do not sell personal information or share it for targeted advertising.

4. What other agents can see

Your detailed data is private to you, except:

  • Your team sees your deals on the team Office Whiteboard unless you turn that off, and sees your roster details.
  • Your team leader and admins can see your detailed production, including commission amounts. Each view of an individual member is logged.
  • Wider sharing is your choice. You can show deals to your brokerage or to everyone on the Service, and choose who can find you as an open house host. Deals shared beyond your team show only public-record details, never your commission or a pending price. Anyone with an open house share link can view it.
  • Our staff may view accounts to support you and run the Service. Views of an agent's production are logged.

5. Cookies

We use cookies only to run the Service: to keep you signed in, to finish connecting an AI assistant, and to bring you back to an open house link after you sign in. Your browser also stores a few display preferences. We do not use advertising cookies or third-party tracking.

6. Security

We encrypt data in transit and at rest, store reZEN API keys encrypted and connector keys only in hashed form, keep each agent's data separate at the database level, and log administrative and team access to production data.

7. How long we keep it

  • reZEN data is kept only while a key that reads it is connected. When you disconnect your key, we delete the reZEN data read with it within 7 days. When you tell us you have left your reZEN brokerage, or your account is closed, we delete all reZEN data about you within 7 days, including data read with your team leader's key. We delete it promptly if you ask. A key reZEN keeps rejecting is disconnected automatically. We keep only the minimum access and audit records the law requires.
  • Everything else is kept while your account is open. After it closes, you may ask for a copy for 30 days, after which we delete or de-identify it, except records we must keep by law.

8. Your choices and rights

  • See, correct, copy, or delete your information by writing to us (Section 10). Deletion follows Section 7.
  • Disconnect reZEN or unlink an AI assistant at any time in Connections.
  • Control sharing of your deals and host profile in the Service's settings.
  • California residents may have rights to know, access, correct, delete, and port personal information, and not to be discriminated against for using them. We do not sell or share personal information as California law defines those terms. Write to us to use these rights; we will verify your identity and respond as the law requires.

9. Children

The Service is not for anyone under 18, and we do not knowingly collect their information, except where it incidentally appears in reZEN data or documents. If you think a child's information has reached us, contact us.
