This Privacy Policy describes how Work Hard Be Kind (workhardbekind.ai) ("we," "us") collects, uses, and discloses personal information in connection with Work Hard Be Kind, our web platform for real estate professionals, its modules, our hosted pages at workhardbekind.ai and its subdomains, and related features (the "Service").

The Service is a business tool for real estate professionals licensed with Real Brokerage. This policy covers the agents and team members who use the Service. It also explains, in Section 5, how information about other people (such as your clients) reaches us through the reZEN data you connect.

1. Information we collect

Account and profile information. When you sign up or are onboarded, we collect your name, email address, and sign-in identifier from the sign-in method you use, and profile details such as your headshot, service area, bio, and social links (which you review and edit).

reZEN data. With the reZEN API key you provide, we read data from reZEN and hold a short-lived cache of it to run the modules you use — for example, your real estate license and market, your transactions and commission figures, and your team roster. This data routinely includes personal information about other people in your transactions (such as clients and counterparties). We use reZEN-derived data only to operate the modules you use; we do not combine it across agents into a retained dataset or use it to build separate databases or products, and it is deleted as described in Section 8.

Content you submit. Photos you upload to the Service and any images generated from them; suggestions, comments, and votes you submit; and other information you enter.

Usage and technical information. When you use the Service we collect standard technical information such as IP address, browser and device information, and access logs.

2. Where information comes from

We collect information directly from you; from your sign-in provider; from reZEN, using the API key you provide; and from the operation of the Service itself (for example, generated images, cached data, and access logs).

3. How we use information

We use personal information to:

  • provide the Service: show your onboarding profile prefilled from reZEN, read and display your reZEN data as dashboards, leaderboards, and reports, host your team space, run feedback features, and generate images from photos you upload;
  • provide support and operate the pilot: members of our team may review accounts, content, and Service activity to help you, run the pilot, and keep the Service accurate and safe;
  • secure and isolate the Service: authenticate you, enforce per-agent and per-team data isolation, protect your encrypted reZEN API key, and detect and prevent abuse;
  • improve the Service: analyze de-identified or aggregated data (data that no longer identifies you or anyone else) to operate, evaluate, and improve the Service. This does not include reZEN-derived data, which we do not aggregate or retain beyond the cache described in Section 8. We do not attempt to re-identify de-identified data, and we do not use identifiable content to train generalized AI models without consent; and
  • comply with law: meet our legal and record-keeping obligations and enforce our agreements.

AI processing. Image-generation features send the photos you upload to a third-party AI provider to generate images. This content is processed under a contract that restricts the provider's use of it, including that it does not use it to train its generalized models.

4. How we disclose information

We disclose personal information only as described here:

  • Service providers. Companies that process information for us to run the Service, in these categories: cloud database, storage, and authentication; hosting; sign-in; email delivery; and AI image generation. They are bound by contracts limiting their use of the information to providing services to us.
  • reZEN. The reZEN platform you connect is the source of the reZEN data we read on your behalf; its handling of your data is governed by Real Brokerage's and reZEN's own terms and privacy policies.
  • Your team. Where a feature is shared with your team (for example, a team leaderboard, or a leader's team production rollup), the limited information that feature displays is visible to the relevant team leader or team members. Section 5 describes what is and is not shared.
  • At your direction. Anything you choose to publish or share through the Service.
  • Legal and safety. When we believe disclosure is required by law or legal process, or necessary to protect the rights, safety, or property of our users, the public, or Work Hard Be Kind.
  • Business transfers. In connection with a merger, acquisition, financing, reorganization, or sale of assets, in which case the successor remains bound by commitments at least as protective as this policy or you will be notified.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

5. Team and tenant visibility

The Service is designed so that each agent's detailed data is private to that agent. Wider visibility comes only from limited, deliberately published views chosen by agents and team leaders:

  • team-level features such as a team leaderboard display a minimal slice of production data — for example, counts, rankings, property addresses, and closed prices — and never client names or contact information;
  • when you publish something to your team or to the wider community of Service users (for example, listing an open house), the act of publishing shares only the limited slice described in that feature; and
  • a team leader may see team-level rollups of their team's production through audited, access-controlled features, using a team key they provide and are permitted to use.

We do not otherwise disclose one agent's data to another agent.

6. Cookies and tracking

Our pages use cookies and similar technologies only as needed to run the Service: signing you in and keeping your session. We do not use third-party advertising cookies or cross-site tracking.

7. Security

We protect personal information with measures including encryption in transit and at rest, encryption of sensitive identifiers such as your reZEN API key, per-agent and per-team data isolation enforced at the database layer, access controls with audited administrative access, and audited team-level data access.

8. Retention

We retain personal information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Retention runs on two tracks:

  • reZEN-derived data. The cache is refreshed from reZEN while your key is connected and is not kept as a standalone dataset. When you disconnect your API key, close your account, or we receive notice that your affiliation with Real Brokerage has ended, we stop future reads and permanently delete your cached reZEN-derived data within 7 days (promptly on request). It is not de-identified or retained, except for the minimum access and audit records we must keep under law.
  • Other personal information and content (for example, your account and profile, photos and generated images, and suggestions). When you close your account, we delete or de-identify this content after the export period described in the Terms of Use, except for records we are required or permitted to keep. De-identified and aggregated data drawn from this content (never from reZEN-derived data) may be retained and used as described in Section 3.

9. Your choices and rights

  • Access, correction, export, deletion. You may request access to, correction of, a copy of, or deletion of your personal information by contacting us (Section 11). Deletion is subject to the retention needs in Section 8.
  • Onboarding profile. You review and edit your prefilled profile before it is saved.
  • reZEN connection. You can disconnect your reZEN API key at any time in your settings, which stops future reads and starts deletion of your cached reZEN-derived data (Section 8).
  • Email. Service messages are part of how the Service operates; any marketing email includes an unsubscribe option.
  • California residents. California law may give you rights to know, access, correct, delete, and port personal information, to limit certain uses, and to be free from discrimination for exercising those rights. We do not sell or share personal information as those terms are defined in California law, so there is nothing to opt out of. To exercise rights, contact us (Section 11); we will verify your identity and respond as the law requires.

10. Children

The Service is not directed to children, and we do not knowingly collect personal information from anyone under 18, except as it may incidentally appear in reZEN data or documents submitted by professionals. If you believe a child's information has reached us in error, contact us and we will address it.

12. Changes to this policy

We may update this policy. If a change is material, we will notify you (for example, by email or through the Service) before it takes effect. The effective date above always reflects the current version.
